N. Meeting Room Use

The Armstrong-Osborne Public Library provides meeting room space to further the Library's mission to meet the informational, cultural, and recreational needs of the community. The primary use of the meeting rooms is for Library programs. Library-related groups, such as book discussion groups, Friends of the Library, and adult literacy programs, as well as local, regional, state, and federal government agencies, may use the room when they are not in use by the Library. Other not-for-profit organizations may reserve a room according to established procedures. Meetings considered to be political, advocating for or against a particular candidate or position, religious services, fundraisers, private meetings, or social events are not permitted. All meetings must be open to the public and free of charge. The Armstrong-Osborne Public Library is not responsible for the content of meetings held. Use of meeting room facilities by community groups or organizations does not constitute library endorsement of the philosophies, practices, or viewpoints of meeting participants.


Meeting Room Guidelines

I. The meeting room is available during the Library's regular operating

hours.

2. The room must be reserved by individuals over the age of 18. If the room is to be used by individuals under the age of 18, the group must be

supervised by an adult who will remain in the room during its use by the

group.

3. The meeting room may not be used for activities which might disturb

regular library functions. The library reserves the right to stop meetings

that are disrnptive to normal library operations.

4. Meetings must be open to the public and free of charge.

5. Groups may not use the Library's address or telephone number for

registration purposes and the Library will not act as a receiving agent, or

post office for groups.

6. Groups may provide their own equipment and utilize the Library's

electrical power and wireless access to the internet. Audio/Visual and

computer equipment is not available from the Library.

7. Any organization using a meeting room is responsible for setting up the

room according to its own needs. Library staff members are not

responsible for room setup. After a meeting, rean-anged tables and chairs

must be returned to their original setup.

8. Groups must allow time for the setup and cleanup of the room during the

Library's regular hours. Cleanup must be completed at least five minutes

before the Library closes.

9. The library reserves the right to reassign meeting room space.

10. If parents bring children to the meetings, the parents are responsible for

the behavior of their children throughout the library. If the children create

a disturbance in the Libra1y, they will be asked to stay with their parents

in the meeting room.

11. If refreshments are to be served a refundable deposit of $100 will be

required. No alcoholic beverages are allowed. Please clean up any spills

promptly to avoid staining carpet or furniture. Supplies in the cabinet are

for library programs, not for use by others.

12. Thermostat may not be adjusted.

13. Infringement of any Meeting Room regulations or Library rules shall be grounds for denial of any future use of Library meeting space.


Unacceptable Uses of Rooms

Rooms are not available for the following:

1. Private social purposes, such as weddings, family reunions, receptions,

dilmers, birthday parties, baby showers, etc.

2. Promotion of commercial products or services.

3. Political campaign events for one candidate or candidates of one

political party.

Library's Right to Deny 01· Cancel Use

TI1e library reserves the right to deny or cancel use of a meeting room to

qualified groups for the following reasons:

1 .Library sponsored programs and events take precedence over meeting

room use by outside organizations. If cancellation of a scheduled

program is necessary, notice will be given as soon as reasonably possible.

2. The group is using the room for an initial introductory or explanatory

meeting to be followed by other meetings in another location where fees

will be charged.

3.The group has violated a rule or has misrepresented the purpose of the

organization or meeting to be held at the Library.
